Formal Procedure

1. How many tickets can I buy?

Each Murray Edwards undergraduate may buy tickets for herself and up to three guests for any Formal Hall by using the online Meal Booking system. When you make a Formal Hall booking the cost of your meal, and that of your guests, is immediately taken from the balance on your card account. In view of this, check that you have sufficient funds available before making a booking by clicking on the Transaction History button. If your balance is too low it can be topped up, using cash or cheque, at the Porters' Lodge.
There is no limit to the number of Formal Halls a student may attend each term or how many times she brings guests.


2. What if I want to take a larger group of people to Formal Hall?

For groups of between five and twenty people there is a special Formal Hall group booking form that allows you to pre-book up to twenty tickets. This form is available to print off from here (link below) and on the Meal Booking system.

3. How do I book a group of tickets for Formal Hall?

Download the Formal Hall group booking form from the above link or on the Meal Booking system. Fill out the form, including name of all attendees and their dietary requirements (tickets will only be issued for named guests). No less than 10 days before Formal Hall send the form to the Catering Office with a cheque, made out to Murray Edwards, to cover the cost of all meals. If the booking is successful, the card account of the Murray Edwards student making the booking will be credited with the cheque, and then the whole amount will be debited from that card account (Transaction History on the Meal Booking system will show this) and the number of places requested will be reserved. If the booking is unsuccessful, the cheque will be returned to the Murray Edwards student making the booking.


4. Who pays the bill?

When the Group Booking form is sent to the Catering Office it needs to be accompanied by a cheque, made out to Murray Edwards, to cover the total cost of all meals. If the booking is successful, the card account of the Murray Edwards student making the booking will be credited with the cheque, and then the whole amount will be debited from that card account (Transaction History on the Meal Booking system will show this). If the booking is unsuccessful, the cheque will be returned to the Murray Edwards student making the booking.


5. Are groups given priority in the booking system, then?

The Formal Hall group booking procedure enables groups to book in advance and pick up a block of tickets, however, more than half of tickets are still available for individuals to buy in the normal way. For each Formal Hall a maximum of 40 tickets will be available for groups who want to pre-book (though no single group may exceed 20); the remaining tickets (at least 60) will be available to buy via the online Meal Booking system. This scheme enables larger groups of friends to go to Formal Hall, without preventing smaller groups of Murray Edwards students from enjoying the experience too.

Please note that whilst you can take up to three guests to a Super Hall, it is not possible to make a group booking because of its college-wide popularity.


6. Where do I collect the tickets from?

Tickets can be picked up from the College Bar from 18:30


Extra things to bear in mind:

 

  • When making your booking, please remember to include any dietary requirements for you and your guests, e.g. vegetarian, vegan, allergies, etc.. It is important that the Catering department knows about these in advance
  • You are responsible for the behaviour of all your guests during Formal Hall and at any and all times while they are in Murray Edwards
  • Only wine purchased from the Murray Edwards bar can be taken into Formal Hall (or corkage must be paid in the bar beforehand).
  • Details of menus, ticket prices, forthcoming Super Halls and a reminder if how and when to get tickets are displayed on the Catering noticeboard in the Porters' Lodge area. In addition, there is a suggestion book at the Lodge for any menu ideas or Super Hall themes you might have
